Version 1.0 · draft for approval
Using your own phone for the Hub: what the app can and can't see, phone security, lost phones, and phone manners during visits.
Draft for approval — awaiting formal adoption by the registered manager; not yet in force.
Your phone and the Hub
LuxAmor staff use their own phones to access the Hub — rotas, clock-in, policies and requests. Because your phone touches client data, some rules come with that.
- Location is captured only at the moment you clock in or out of a visit, to confirm attendance. The Hub does not and cannot track you between visits or off shift.
- Protect your phone with a passcode or biometric lock, and keep its software updated.
- Do not save client information on the phone itself — no client names in your contacts, no notes apps, no photos of run sheets or people's homes.
- Lost or stolen phone: tell the office the same day so your Hub session can be signed out remotely and your password reset. You will not be in trouble — but silence puts client data at risk.
During visits
- Personal calls, messages and social media wait until between visits. Your visit time belongs to the client.
- Keep your phone on and reachable for work purposes — it is also your lone-working lifeline.
- Never photograph or record clients, their homes or documents on your personal phone.
Hub account security
- Your Hub login is yours alone — never share your password or 2FA codes with anyone, including managers. IT support will never ask for your password.
- Actions in the Hub are recorded in an audit trail under your account. Sign out on shared or family devices.
